How much does it cost to rent an event hall?

Which factors actually determine the price of your event

The honest answer is: it depends. The useful answer is: it depends on seven points – and you can go through these before you make an inquiry. After that, you will know what kind of price range you are looking at and what information a provider needs from you to provide a reliable quote.

Why hardly any provider puts fixed prices on their website

An empty hall is rarely what you actually need. What is booked is a package: floor space, setup time, electricity, technology, staff, cleaning, and often catering. Two events in the same hall, with the same number of guests, can differ in final price by a factor of three – because one needs seating and a microphone and the other needs a stage, trusses, sound, lighting, and a security team.

Anyone who quotes a fixed price anyway usually means the pure hall rent. That is the item that causes the fewest surprises in the end.

The seven factors that determine the price

1. Floor space and hall selection

You pay for square meters, not for guests. Booking a 5,000 square meter hall for 300 people is twice as expensive: once in the rent, and once in the atmosphere – a half-empty room never feels festive. Conversely, it becomes unpleasant if you calculate too tightly and a bottleneck occurs at the buffet.

As a rule of thumb: for banquet seating, calculate around 1.5 to 2 square meters per guest; for theater seating, significantly less; for a standing reception with exhibition areas, more again. Partitionable halls are a real cost lever here: you rent the section you need instead of the entire area.

2. Duration – including setup and teardown

The most common calculation error. Your event lasts one day, but the booking lasts three: one day for setup, one day for the event, and half a day for teardown. For trade fairs with exhibitor stands, it can easily be five days. These times are included in the calculation, usually at a reduced rate – but they are there.

Therefore, always ask for the price for the entire occupancy period, not for the daily rate.

3. Technology

Sound, light, stage, projection, power connections, Wi-Fi for your guests. A company party with background music and two wireless microphones costs a fraction of what a congress with simultaneous translation and streaming costs.

Important: Clarify what is part of the basic equipment of the venue and what comes extra. Venues with their own technical inventory are almost always cheaper than external rentals – because transport, setup, and teardown are eliminated.

4. Staff

Setup and teardown team, admission, cloakroom, stewards, security service, medical service, cleaning staff. For public events, parts of this are legally required, depending on the number of guests and the type of event. This is not an item where you can save money – but one you should know about early on.

5. Catering

Clarify early what technology you need: stage, sound, lighting, and a screen for speeches or retrospectives. For catering, choose between a menu, buffet, or flying dinner – depending on whether the evening should be more formal or casual. A common thread helps: a brief welcome, a highlight in the middle (tribute, show, or music), and then enough time to wind down. Consciously plan breaks so that conversations don’t fall short.

6. Additional costs

Electricity and water consumption, heating or cooling, final cleaning, waste disposal, signage, parking management. Individually these are small amounts, but in total they form a significant block. Ask explicitly which additional costs are included in the offer and which are billed according to consumption.

7. Date and lead time

September to December and spring are high season. A Saturday in November is more expensive and, above all, harder to get than a Tuesday in February. Those who are flexible save – and not just a little. Those who inquire six weeks in advance pay for the remaining selection.
